Set up & Manage Employee Life Cycle

Set up Onboarding Automation:

  1. Go to Company Setting by clicking on the āš™ļøicon on the navigation bar > Automation

  2. In the Employee life cycle, click on Onboarding

    3. Click on:

    • Email: to set up auto-emailing to notify employees of onboarding events

    • News: to set up auto-sending news to notify employees of onboarding events

    4. Click on the New Emails/ Create News button

    5. Fill in the required fields:

    • Email

      • Title: Enter a title for the email

      • Main Recipients: defines who will receive an email notification on their onboard date. It can be all employees or an Employee Group.

      • Email template: default template. This template will be used as the system email when sent out to your employees. You can’t update this email template

      • CC: define members you want to announce about new members.

      • Schedule: set a timeline to send emails.

    • News:

      • Title: Enter a title for the News

      • Eligibility: defines who will receive a news notification on their onboard date. You can select all employees or Employee Groups.

      • Recipients: Select users to notify about employees' onboarding

      • Email template: default template. This template will be used as the system email when sent out to your employees. You can’t update this email template

      • Schedule: set a timeline to send emails.

    6. Click Create to finish.

šŸ“ŒNote:

  • The number indication (next to Emails and News) matches with a number of created records in the News/ Email list.

  • The maximum number of created emails allowed is 10. And the news is 10 as well.

  • HR and admins should fill in enough information about the Join Date and Probation End Date of employees to apply this automation setting.

Set up Probation Automation:

  1. Go to Company Setting by clicking on the āš™ļøicon on the navigation bar > Automation

  2. In the Employee life cycle, click on Probation

    3. Click on:

    • Email: to set up auto-emailing to notify employees of probationary events

    • News: to set up auto-sending news to notify employees of probationary events

    4. Click on the New Emails/ Create News button

    5. Fill in the required fields:

    • Email

      • Title: Enter a title for the email

      • Main Recipients: defines who will receive an email notification on their probation end date. It can be all employees or Employee Groups.

      • Email template: default template. This template will be used as the system email when sent out to your employees. You can’t update this email template

      • CC: define members you want to announce about colleagues’ passing probation.

      • Schedule: set a timeline to send emails.

    • News:

      • Title: Enter a title for the News

      • Eligibility: defines who will receive a news notification on their probation end date. You can select All Employees or Employee Groups.

      • Recipients: Select users to notify about employees' probation end date.

      • Email template: default template. This template will be used as the system email when sent out to your employees. You can’t update this email template

      • Schedule: set a timeline to send emails.

6. Click Create to finish.
