Seniority Leave is an additional time off entitlement granted to employees based on the years they have worked for your company. Using Grove HR's Seniority Leave will allow you to accurately assign the correct time off entitlement to your employees, no matter how long they have been at the company.

How Total Entitlement of Seniority Leave is Calculated in Grove HR

By default, Seniority Leave will be credited based on the employee's service year. The total entitlement is a combination of the policy's entitlement and values defined in your seniority leave.

The Total Entitlement is calculated using the following formula:

Total Entitlement = Policy's Entitlement + Value(s) in Seniority Leave

Example 1:

Your company has a standard Annual Leave policy of 12 days. Employees with more service years are entitled to extra days off with the following rules:

  • 12 days when working from 0 to 2 years

  • 13 days when working for 3 to 4 years

  • 15 days when working for 5 years or more

Applying this to Grove HR:

  • 12 days from the join date until year 2: use the Policy's Entitlement

  • 13 days when working for 3 to 4 years:

    • In the 3rd year, add 1 day to the total entitlement

    • Total Entitlement = Policy’s Entitlement + First Value for in Seniority Leave = 12 + 1 = 13 days

  • 15 days when working for 5 years or more:

    • In the 5th year, add 2 days to the total entitlement

    • Total Entitlement = Policy’s Entitlement + First and Second Value in Seniority Leave = 12 + 1 + 2 = 15 days

How Service Year is Calculated in Grove HR

The employee's Service Year (also known as years of service or tenure) is calculated from joining until the present.

Example 2:

  • Jessica joined your company on 2 March 2020

  • On 17 May 2023, her service year is 3 years and 2 months

How Seniority Leave is Credited in Grove HR

Let's take a look at example 2 - Jessica again:

  • Jessica joined the company on 2 March 2020

  • Her service year is 3 years and 2 months

  • According to the company's policy, she is entitled to:

    • Total Annual Leave of 13 days for 3 years of service

    • In her 5th year of service, she will be entitled to a Total Annual Leave of 15 days

Grove HR will credit her Annual Leave with seniority as follow:

  • On 2 March 2023: She gets 1 extra day for the 3 years of service she completed. Total Annual Leave: 13 days

  • On 1 January 2024: She will get 1 extra day reward for her 4th year of service. Total Annual Leave: 13 days

  • On 2 March 2025: She will get 2 extra days for her 5th year of service

  • On 1 January 2026: She will get 2 extra days for 6th year of service
