Keep in mind that depending on the configuration of your access role (Admin, HR, Line Manager, etc.), you may or may not have access to view and upload contracts for employees. Please check with your Admin for access control.
Upload an employee's contract
Navigate to Employees > Manage Employees
Find and click on the employee name you want to open their profile (ex. Linh Cao Thuy)
In the Job tab, find the Contract Timeline section
Click + New Contract
Fill in the required fields:
Contract name: Enter a name for the contract
Contract number: Fill in a number for the contract
Contract Type: choose a contract type. If you cannot find a type you need in the dropdown list, click Manage Contract Type to create.
Start Date: Select a date
End Date: will be determined by the system, depending on the contract type.
Attached File: upload a file
Maximum supported file size: 5MB
Supported file format: DOC, DOCX, PDF
Add note
Click Save to complete.
📌 Note:
By default, an employee can view their contracts. To change, go to Company Settings > Permissions > Role > Employee to adjust their data access
Employees can only view the contracts in their profile, not other colleagues
Line Managers could not view employee's contracts unless they were granted access through a role
Edit a contract
1. Navigate to Employees > Manage Employees
2. Find and click on the employee name you want to open their profile (ex. Linh Cao Thuy)
3. In the Job tab, find the Contract Timeline section
4. Find the contract that you want to edit and click on the ••• icon and select Edit
5. Click Save when finished.
Archive a contract
For old contracts that have expired, you can archive contracts and review them at archived contracts.
To archive a contract, please follow the steps below:
Go to your employee profile
In the Job tab, find the Contract Timeline section
Find the contract that you want to archive and click on the ••• icon and select Archive
Click on the Archive button again.
