Set up Clock-in/out Methods & Geofencing

The long-awaited features are here! Now you can enable location tracking, and select the most suitable and convenient ways your employees can clock in/out on Grove HR.

Before starting, make sure you have access to Attendance Settings. If not, please contact your Admin to request permissions.

Set Clock-in/out Methods

Firstly, make sure you have access to Attendance Settings. If not, please contact your Admin to request permissions.

  1. Go to Attendance > Setting (or click on ⚙️ icon > Attendance Settings)

  2. Click on Locations & Policies, and you'll find all active offices with Clock-in/out options

  3. To adjust an office's clock-in policies, click on the ⋮ icon and select Edit

  4. Tick all suitable options:

  • Allow web clock-in using the manual button: when disabled, the clock-in section on Dashboard and in the Attendance module will be hidden

  • Allow mobile clock-in using the manual button: when disabled, the clock-in button on the mobile app will be hidden

  • Allow mobile clock-in using QR code: when disabled, employees can only clock-in using the clock-in button on the mobile app

5. Click Save to apply changes

📌 Note:

  • The configuration only applies to the employee of said office

  • If no clock-in option is selected, your employees won't be able to clock-in, and Attendance data won't be populated to Payroll


Geofencing

Integrating with Google Maps, Grove HR's Geofencing feature makes for accuracy when tracking employees' clock-in location, preventing offsite clock-in or malpractice.

How it works

When enabled, Geofencing allows you to observe an employee's clock-in location, and identify whether or not it's a designated area (geofencing circle). Work-from-home staff or field agents can also log their time and locations offsite when the clock in/out offsite is enabled. These options can be applied to all clock-in/out methods (web and mobile app).

Before clocking in, the system will ask employees to turn on location permission and will tell whether the employee is inside or outside of the designated area.

If an employee is outside of the geofencing circle, he or she might be asked to input the reason (e.g., I’m working at home today, I have a meeting with the client at 9.00), or the employee might not be able to clock in/out. As mentioned, this will depend on the configuration.

How to Set up

  1. Go to Attendance > Setting (or click on ⚙️ icon > Attendance Settings)

  2. Click on Locations & Policies and you'll find all active offices

  3. Click on the ⋮ icon corresponding to an office and select Edit

  4. At the Geofencing section, toggle the button to turn on location tracking

  5. Enter the Accurate Address of your office and the Radius. These inputs then form the geofencing circle (as seen in the image)

💡Tip: By ticking the "Allow clock in/out outside the office" option, employees can clock in even when they are offsite.

6. Click Save to apply changes

📌 Note:

  • This option will apply to all clock-in/out methods (web and mobile apps)

  • If "Allow clock in/out outside the office" is disabled, your employee might not be allowed to clock-in offsite

  • Employees can only clock in and out from 1 designated location
