Offboard an Employee

Learn the best way to offboard an employee with ease and confidence.

Offboarding is a process as important as Onboarding a new employee. It guides employees on which tasks must be completed before their last working day and ensures work is transferred to the next person in charge (PIC) on time. It's also a chance to leave the last good impression on resigning employee.

Offboarding tasks can be assigned to a specific person or a group for various tasks like collecting the company's properties, confirming the full and final settlement, etc.

Depending on the configuration of your access role, you may or may not have access to this feature. Please check with your Admin.

To offboard an employee, follow the guide below:

  1. Go to Employee > Manage Employees

  2. Find the employee you want to offboard and click on their name to open profile

  3. Click Action and select Offboarding from the drop-down menu

  4. Update information on the form, then click on Offboard

    • Resignation Date: The date the employee submits their resignation (or date of termination announcement)

    • Last Working Date: The employee account will be deactivated based on this information. If the date is in the past, their account status will automatically change to "Resigned."

    • Manager Reassignment: Re-assign all direct and direct reports to this person. Org chart will be updated accordingly. If you do not pick a manager reassignment, you will need to update it manually later

  5. Assign a checklist to ensure the offboarding process runs smoothly (Optional)

⚠️ Please download any necessary files and reports before the last working day. You may not be able to view employees' available Time Off or Time Off Balance reports after this day.

📌 Note:

  • After the Last Working Date, the employee account will automatically be deactivated

  • If you select the Last Working Date as the day before the current day, the system will automatically change employee status to Resigned. You will no longer be able to assign an offboarding checklist at this status
